How we collect, use and protect your information; your consent to be contacted; text-message terms; and the extra rules that apply to Medicare, Marketplace and agent/agency relationships.
NovaVida Group is the marketing name of Vitality Health Advisors LLC (dba NovaVida Group), a licensed independent insurance agency, field marketing organization (FMO) and general agency headquartered at 1300 Old Congress Ave, West Palm Beach, FL 33409 (“NovaVida,” “we,” “us”). This Privacy Policy explains what we collect through novavidagroup.com (the “Site”), the phone, text, e-mail and online channels connected to it, and how we use and protect that information.
The Site serves two audiences, and this Policy addresses both:
Sections are tagged Consumers, Agents & Agencies or Everyone. Where a section is tagged for one audience, it still applies to anyone who uses that part of the Site.
What this Policy does not cover. We are not an insurance company; policies are underwritten and issued by the carriers we are appointed with, and each carrier, Marketplace and enrollment platform has its own privacy notice that applies once you quote or apply with it. Our other websites — including Vitality Health Advisors, Vitality On Demand, NovaVida Benefits and the independent product websites listed on our Network page — post their own privacy notices. Vitality On Demand (VOD) is a separate consulting company and is not an insurance agency; its services are governed by its own agreements and notices. We are not affiliated with or endorsed by HealthCare.gov, CMS, Medicare or any government agency.
| If you are… | We may collect |
|---|---|
| A consumer requesting a quote, a call or information | Name, phone number, e-mail, ZIP code, the coverage you are interested in, your preferred contact time, anything you type in a message box, and the consent you give. When our agent quotes or enrolls you, the details a carrier requires: dates of birth, household members, income range (for subsidy estimates), tobacco use, current coverage, Medicare or Marketplace identifiers, and health questions the carrier asks. Some of this is collected by our agent and some directly by the carrier or enrollment platform you choose. |
| An employer or business owner | Company name, contact person, number of employees, current benefits, and the payroll or budget figures you enter into calculators such as the Benefits ROI estimator. |
| A licensed agent, agency or other Business User | Name, agency name, National Producer Number (NPN), license states and lines, phone, e-mail, what you want to discuss (contracting, carriers, leads, bonuses, VOD services, a career) and notes. If you proceed to contract with us, the carriers’ contracting systems collect licensing, appointment, errors-and-omissions, background, tax and payment details under their own notices — not through this Site’s forms. If you apply for a position, your résumé and work history. |
| Anyone who calls, texts, e-mails or chats with us | The content of the communication, call recordings where permitted (see §4), and the records we keep of your consent, requests and opt-outs. |
| A Business User who sends us client or production data | Information about your clients, policies, commissions and carrier statements that you ask us to process — see §9. |
Functional storage. The Site stores your language choice in your browser, a session flag for the Learning Lab members area, and one-time notices so you are not shown the same pop-up repeatedly.
Site analytics and performance. We use Vercel Web Analytics and Vercel Speed Insights, provided by our hosting company, to count page views and measure how quickly pages load. According to Vercel, these tools do not use cookies and identify visits only with an anonymized, short-lived value derived from the request; they report page addresses, referrers, approximate country, device and browser type and performance timings. We use the results only in aggregate to improve the Site.
No advertising tracking today. We do not currently run advertising, retargeting or social-media tracking tags (such as Google Ads or Meta pixels). If we add them, we will update this section and give you a way to decline non-essential cookies before they go live. Fonts are loaded from Google Fonts, which receives your IP address to serve them. Quoting and enrollment tools embedded or linked on the Site are operated by third parties and set their own cookies under their own notices.
Automated and AI-assisted tools. We may use software, including AI-assisted tools, to transcribe and summarize calls, draft responses, route requests to the right licensed agent and answer common questions on the Site. A licensed human agent remains responsible for insurance recommendations and enrollments. Carriers, not NovaVida, make underwriting decisions. If we place calls using an artificial, prerecorded or AI-generated voice, we do so only with the consent described in §4 and we identify the call as such.
We do not sell your personal information, use it for cross-context behavioral advertising, or share it with other companies for their own marketing.
Our forms include an unchecked consent box. Checking it and submitting the form is your electronic signature and your prior express written consent for Vitality Health Advisors LLC (dba NovaVida Group) and its licensed insurance agents to contact you at the phone number and e-mail you provided about the products or services you asked about — by live calls, text messages (SMS/MMS) and e-mail, including calls and texts placed with an automatic telephone dialing system or delivered with an artificial, prerecorded or AI-generated voice — even if your number is on a federal, state or company Do Not Call list.
Calls to and from our office and agent lines may be recorded and monitored for quality, training, dispute resolution and regulatory compliance. We announce recording at the beginning of the call; Florida and several other states require the consent of everyone on the call, and by continuing after the announcement you consent. Medicare sales and enrollment calls must be recorded under federal rules (see §6).
| Program | NovaVida Group quote, application, enrollment-period and contracting updates, sent by Vitality Health Advisors LLC (dba NovaVida Group). |
|---|---|
| How you opt in | By checking the consent box on a Site form, by texting us first, or by giving a licensed agent your written or verbal permission. |
| Frequency | Up to 8 messages per month; frequency varies with your request. We send one confirmation message when you opt in and one when you opt out. |
| Cost | Message and data rates may apply. Standard carrier charges from your mobile provider. |
| Opt out | Reply STOP, END, CANCEL, UNSUBSCRIBE or QUIT to any message. You may also e-mail Compliance@NovavidaGroup.com or call 561-339-0727. |
| Help | Reply HELP, e-mail Compliance@NovavidaGroup.com or call 561-339-0727. |
| Carriers | Supported on all major U.S. carriers. Carriers are not liable for delayed or undelivered messages. |
| Privacy | No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third party, other than the service providers that deliver messages on our behalf. |
When an employer asks us to quote or administer group benefits, we handle employee information on the employer’s instructions and the carrier’s requirements. Employees receive plan notices from the employer and the carrier.
As a licensed insurance agency we are subject to the federal Gramm-Leach-Bliley Act and state insurance privacy regulations, which govern “nonpublic personal information” — the financial and health information you give us in connection with insurance. This section is our privacy notice under those rules.
No other agencies. Your request is handled by our own licensed agents. We do not sell your personal information, and we do not transfer or share it with any other insurance agency, lead buyer or marketer for their own use. If that ever changes, the company that would receive your information will be named in the consent language you see before you submit a form, and it will be listed in this section.
No sale or targeted-advertising sharing. We have not sold or shared personal information for cross-context behavioral advertising in the preceding 12 months, and we do not plan to. We do not sell personal information about anyone under 16.
This section adds to the rest of this Policy for licensed agents, agencies, FMOs/IMOs/GAs, TPAs and consulting clients (“Business Users”).
Access codes and logins for the Learning Lab members area and any agent portal are personal to you. We record access and activity for security and to document training. Do not share credentials; tell us immediately if you believe a credential has been compromised.
We send Business Users carrier updates, certification deadlines, compliance notices and operational messages as part of the relationship. You may opt out of marketing messages at any time (see §4 and §5); operational notices continue while you hold contracts through us.
VOD is a separate consulting company and is not an insurance agency. If you engage VOD, the information you provide for that engagement is governed by VOD’s own agreement and privacy notice. Requests for VOD services submitted on this Site are forwarded to VOD so it can respond.
Form data is transmitted over HTTPS and received by server-side systems that validate each submission, rate-limit abuse and accept only the fields our forms send. Personal information is stored in access-controlled systems available only to staff and agents who need it, and we require our service providers to protect it. No method of transmission or storage is completely secure; if a breach affecting your information occurs we will notify you and regulators as the law requires. Please do not send Social Security numbers, bank details or full health histories through the Site’s general contact forms — your agent will tell you the secure way to provide what a carrier needs.
We keep personal information for as long as needed to serve you, to meet insurance record-keeping requirements and to defend or bring legal claims. Some periods are set by law or carrier requirements, including:
Information that is no longer needed is deleted or de-identified.
Residents of states with comprehensive privacy laws (for example California, Colorado, Connecticut, Delaware, Florida, Montana, New Jersey, Oregon, Texas, Utah and Virginia, among others) may have rights to access, correct, delete or obtain a copy of their personal data and to opt out of its sale, of targeted advertising and of certain profiling. We do not sell personal data or use it for targeted advertising, so there is nothing to opt out of; the other rights are available through the process above. Many of these laws exempt information collected by a licensed insurance agency under insurance privacy rules; where an exemption applies we will tell you, and we will still honor your request wherever we can.
California residents — notice at collection. In the preceding 12 months we collected the following categories of personal information for the purposes described in §3: identifiers and contact details; personal records (insurance, financial and health information you provide); protected classifications where an application requires them (such as age); commercial information (coverage requested and purchased); internet activity (§2-B); approximate geolocation from IP address; professional information (Business Users); and audio recordings of calls. Sources are described in §2 and recipients in §8. We do not sell or “share” personal information, use sensitive personal information for purposes other than providing the services you request and complying with the law, or knowingly collect personal information of anyone under 16. You may also request a list of third parties to which we disclosed personal information for their direct marketing purposes (we have none).
Nevada residents: we do not sell covered information as defined in Nevada law.
Global Privacy Control / Do Not Track: because we do not sell or share personal information, an opt-out-preference signal does not change how we treat you; where a law requires it, we treat such a signal as an opt-out of sale and sharing. The Site does not respond to “Do Not Track” browser signals, which have no industry standard.
The Site is intended for adults. It is not directed to children under 13, and we do not knowingly collect personal information from anyone under 18. Parents may give us a child’s information only as part of a family application. If you believe a minor has given us information directly, e-mail Compliance@NovavidaGroup.com and we will delete it.
We offer insurance only to residents of the United States and its territories (international and travel plans are quoted for U.S. residents through the carriers that offer them). The Site is hosted and our records are kept in the United States. If you visit from outside the United States, you understand that your information will be processed in the United States under U.S. law, which may differ from the law where you live. Our pages in Portuguese, Spanish, German and Italian are provided for U.S. residents who prefer those languages.
We will post any changes here with a new effective date. If a change materially reduces your rights or expands how we share information, we will give you notice through the Site or by e-mail before it takes effect. Continued use of the Site after the effective date means you accept the updated Policy.
